Privacy Policy

Last updated: 2026-09-28

Talk2UsNow (“we”, “us”) helps businesses collect customer feedback. This policy explains what we collect, why, and your choices. Depending on the context, we may act as a controller or a processor of personal data. For customer feedback submitted through a business’s Talk2UsNow account, the business generally determines the purposes of processing and is the controller, while we process that information on the business’s behalf as a processor. For account, billing, security, and service-management information, Talk2UsNow acts as the controller. Talk2UsNow is built by CalyxSol.

1. What we collect

  • From customers leaving feedback: the star rating; and, if you choose to send a private note, your name (optional), phone number (optional), and the message you write. We also store a device identifier used to help prevent spam and abuse.
  • Usage events: information about QR scans, star ratings, and taps through to Google, such as counts and basic technical information used to operate and secure the service.
  • From business owners: your account email and business details (such as the business name, location, and the Google review link you provide).
  • We do not collect payment card numbers (handled by our billing provider). If you choose to leave a public review through a third-party platform such as Google, the information you submit there is handled directly by that platform under its own terms and privacy practices.

2. How & when we collect it

  • Directly from you: when a customer submits the rating form, or when an owner registers an account or adds a business.
  • Automatically: scan and redirect events and a device identifier are recorded when the QR page is used (see our Cookie Policy).
  • From our providers: for example, our billing provider tells us your subscription status (never your card number).

3. Legal bases (GDPR/UK GDPR)

The business using Talk2UsNow is responsible for determining the appropriate legal basis for collecting and using customer feedback. Where we process feedback on a business’s behalf, we do so according to the business’s instructions and applicable law.

For processing for our own purposes, such as account administration, providing the service, security, fraud prevention, and service management, Talk2UsNow may rely on appropriate legal bases such as contract, legitimate interests, consent, or legal obligations, depending on the circumstances. Where processing is based on consent, you may withdraw that consent at any time; withdrawal does not affect the lawfulness of processing carried out before withdrawal.

We do not sell your personal data or use it for advertising.

4. Who can see it

Your feedback is private to the specific business you gave it to. Access is restricted so that one business cannot access another business’s feedback. Authorised personnel may access personal data where reasonably necessary to operate, maintain, secure, troubleshoot, or support the service.

5. Service providers & sub-processors

  • Supabase: database & authentication hosting.
  • Vercel: application hosting.
  • Resend: sends the owner’s email alerts.
  • Lemon Squeezy: subscription billing and merchant of record (they handle card data).
  • Google: if you choose to post a public review, that happens on Google under Google’s own terms and privacy policy.

Talk2UsNow is not responsible for the privacy practices, availability, or content of third-party platforms.

6. International data transfers

Some of our service providers may process personal data in countries outside your country of residence, including the United States. Where required by applicable data protection law, we use appropriate safeguards for international transfers, such as Standard Contractual Clauses or other legally recognised transfer mechanisms.

7. Cookies & similar technologies

We keep browser storage to a minimum and use no advertising or cross-site tracking cookies. Full detail, including the sign-in session and the device marker, is in our Cookie Policy.

8. Retention

We retain customer feedback for as long as necessary to provide the service on behalf of the relevant business, unless the business instructs us to delete it or applicable law requires otherwise. Where we process feedback on a business’s behalf, deletion at the end of the service is handled in line with our agreement with that business. We may retain limited information as needed for legal, security, and dispute-resolution purposes.

9. Your rights

You may request to access, correct, export (portability), or delete your personal data, and to withdraw consent or object to processing.

If your request relates to feedback collected by a business using Talk2UsNow, we may refer your request to that business, because it generally determines the purposes and legal basis for processing that feedback. Where Talk2UsNow is responsible for the relevant processing (such as account or billing data), we will handle your request directly. Email hello@talk2usnow.com. We will respond within the timeframe required by applicable law.

10. Your California rights (CCPA/CPRA)

California residents have the right to know what personal information we collect, to request its deletion or correction, to opt out of the “sale” or “sharing” of personal information, and to non-discrimination for exercising these rights. We do not sell or share your personal information as those terms are defined by the CCPA/CPRA. To exercise any right, email hello@talk2usnow.com.

11. Security

We use encryption in transit and, where supported by our infrastructure, encryption at rest, together with access controls and tenant-isolation measures. No system is perfectly secure, but we implement reasonable measures to protect your data. See our Security page for more.

12. Data Processing Agreement

Where we process personal data on a business’s behalf, our Data Processing Agreement applies. Business customers can request a signed copy by emailing hello@talk2usnow.com.

13. Changes & contact

We may update this policy from time to time and will revise the “last updated” date above. If we make material changes, we may provide additional notice where required by applicable law. Questions or requests? Email hello@talk2usnow.com.
